Job Summary

We are seeking a Maintenance Controller to join our dedicated Customer Service Centre team. In this role, you will play a crucial part in providing exceptional customer service by managing maintenance operations for a diverse fleet of light and heavy goods vehicles under various customer contracts. This position is based at our Head Office in South Normanton, Derbyshire. The ideal candidate will possess proficiency in German, Italian, or Spanish.

Main Duties and Responsibilities

As a Maintenance Controller, your responsibilities will include:

  • Collaborative Service Delivery: Work effectively within a team, sharing your expertise and knowledge to ensure a high standard of service for all customers.
  • Efficient Call Handling: Respond to all incoming calls promptly, adhering to our service centre’s terms and conditions.
  • Supplier Management: Select qualified and appropriately equipped suppliers for service and repairs, consistently prioritising the most cost-effective options.
  • Breakdown Coordination: Manage all breakdown and call handling incidents, ensuring alignment with customer Service Level Agreements (SLAs) and specific procedures.
  • Progress Tracking: Proactively monitor all incidents through to completion, keeping customers fully informed at every stage.
  • Detailed Record Keeping: Maintain meticulous individual incident records, documenting all communications and relevant information on each incident’s dedicated memo pad.
  • Expenditure Control: Oversee maintenance, breakdown, and accident-related costs across a diverse range of equipment and contracts, managing both internal and external service providers.
  • Technical Resolution: Facilitate the resolution of all technical queries related to repair costs or quality, ensuring optimal value and quality for all customers.
  • Authorisation & Compliance: Authorise expenditure within agreed limits for estimates, ensuring all maintenance records and contract processes are meticulously followed as a reference for repair decisions.
  • Scheduled Maintenance Oversight: Liaise with the Maintenance Control Manager, Fleet Engineers, Contract Managers, and customers to ensure all servicing and MOT requirements are planned and completed in line with specific customer and manufacturer guidelines.
  • Record Accuracy: Keep all maintenance records up-to-date via our supplier portal.
  • Procedural Adherence: Ensure all operational procedures are followed diligently and report any instances of non-compliance.
  • Cost Optimisation: Proactively work with Fleet Engineers to reduce repair costs and supplier rates, ensuring the utilisation of the most cost-effective resources.
  • Out-of-Hours Support: Provide essential support for customer breakdowns outside of regular operating hours, coordinating with both customers and suppliers to ensure incidents are resolved.

Person Specification
We are looking for a candidate who meets the following criteria:

  • Language Skills: Ideally fluent in German, Spanish, or Italian. German language proficiency would be highly advantageous.
  • Industry Experience: A minimum of 3 years of experience in the motor vehicle industry.
  • Technical Knowledge: Suitably qualified with experience in light/heavy commercial vehicle maintenance, repair, diagnostics, and standard repair times.
  • Customer Focus: Proven experience working in a fast-paced, demanding customer environment with a flexible approach to meeting customer needs.
  • Communication & Self-Motivation: Self-motivated with excellent verbal and written communication skills.
  • Work Ethic: Ability to work under pressure with minimal supervision and thrive as a team player.
  • Organisational Skills: Well-organised, capable of taking ownership of tasks, and possessing strong attention to detail.
  • IT Proficiency: Proficient in Microsoft Office applications; an understanding of Maintenance Management Systems would be beneficial.
